Folders#
Folders are a core feature for structuring large-scale knowledge data logically, improving the accuracy and contextual relevance of the agent’s responses.
If you need to train over 10,000+ documents, it’s highly recommended to organize them into folders by similar categories for efficient management.Simply organizing documents into folders and assigning representative names to each folder can significantly enhance search performance.
Folder Usage Scenarios#
1. When you want to improve search accuracy with a large number of documents#
If folders are clearly categorized, the agent can find more accurate results even within massive document sets.
Be sure to name each folder with keywords that best represent its contents.Example:
If a user asks, “How do I apply for vacation facilities?”, STORM’s internal search will prioritize the folder named “HR Guide” for retrieval.
2. When contextual separation is needed#
Folders help set clear boundaries between information that uses similar terminology but in different contexts.Example: Managing information for each branch in a franchise companyCreate separate folders per branch (e.g., Gangnam, Yeoksam, Seolleung)
Each folder contains unique information such as operating hours, parking details, or special menus
When a user asks about a specific branch, the agent only references that branch’s folder to prevent confusion
You can strengthen information security by limiting access based on user roles and permissions.Example: Internal enterprise information managementOrganize folders such as “HR Information,” “Financial Data,” “Development Docs,” and “Company-Wide Info”
Employees only have access to folders relevant to their department and shared resources
The agent references only the folders the user has permission to access
Folders help deliver precise answers by distinguishing between different products or services.Example: Managing product-specific information in a financial institutionCreate separate folders for each product: insurance, investment, and loan services
When a customer asks about a specific product, the agent references only that product’s folder
Even if products share similar terminology, the AI can provide contextually accurate explanations
💡 Pro Tip 1
Folder names are more than just labels—they’re critical metadata that enhance both human and AI understanding.
Use clear, descriptive names like 2024_HR_Policy or Customer_Service_Scripts instead of vague ones like “Document1” or “File.”
For priority folders, use names that imply authority or recency, such as Official_Guidelines or Latest_Policies.
💡 Pro Tip 2
When designing the folder structure, align it with user query patterns and access requirements.
Avoid over-segmentation—too many small folders increase management complexity.
Priority Search Option#
Enables the agent to search specific folders first when generating answers — an advanced prioritization feature.
Especially useful when similar content exists across multiple documents but certain folders contain more reliable or authoritative information.
For example, if there are common documents shared across all branches, group them under a “Franchise Guide” folder and set it as a priority search folder (e.g., for company-wide manuals or standard policies).
Toggle the option to mark a folder as Priority Search Folder.
